How do I cast an existing client that migrated over from the Big Apple with no allocation of hours?
Although BANG does not allow for you to cast a non-allocated enrollment, you do have the option to close the enrollment and reopen a new one with allocated hours (by student or by subject) in order to cast.
- In the top menu, go to Client Care > Enrollment
- Find the enrollment you would like to allocate hours for. Click the Account Summary icon on the left.
- In the ACCOUNT SUMMARY, make note of everything that you want to carry through to the new allocated enrollment you will create. For our example, we can see that we are carrying over 48 enrollment hours, zero of which were used. We can see that 10 hours were paid for, a value of $500. The hourly rate for this enrollment was $50 per hour. We also charged a $50 registration fee.
- Scroll down to the ACTIVE ENROLLMENT section. Click the Cancel Enrollment icon.
- In the Cancel Reason field, select No Allocation - Migration. This will allow you to track the enrollments that you closed out and reopened in order to allocate hours.
- Select a payment method
- Remember, that in order to close an enrollment, the account balance must be zero. If a client has made a payment, zero out the balance by inputting a refund for the amount they paid. Notice that the client paid a $50 registration fee. We will not refund this amount, but we will remember to remove the registration fee when we re-open the allocated enrollment.
- Click CANCEL ENROLLMENT
- Scroll down to the CLOSED ENROLLMENT section and find the enrollment you just closed
- Click the Renew Enrollment icon.
- As you can see, most of the client’s and student’s information remains. Now you can allocate the hours in the enrollment.
- In this case, we will select Allocate by Student
- First we remove the registration fee, as we did not refund it in our example
- Fill out the following fields with the information you noted down from the previous enrollment:
- Hours
- Bonus Hours
- Rate
- Session (Min)
- Sessions/week
- Enter the amount that the client already paid in the Deposit $ field
- Enter the Deposit Payment Method
- Enter the Payment Frequency, Payment Date and adjust the number of Installments
- Select an Expiry for the enrollment
- Click SAVE and then OK
- You are now able to cast for a tutor
