Technical Documentation for Spots (Mini Dashboards)


This document aims to outline the parameters of calculation for all criteria in your Spots report. Each item below can be calculated by Month to Date (MTD) or Year to Date (YTD). The filters in this article are as follows:

- Hours Served 
- Number of Students
- Revenue
- Sales

Hours Served:
Month to Date

Hours Served MTD = Sum of Sessions' Duration

Conditions:

  1. Appointment Status are ‘Report Approved’ and ‘Report Submitted’

  2. Appointments Deleted = 0 (this means deleted sessions are not part of the calculation)

  3. Appointment Date is BETWEEN '1st day of month' to Current date for MTD value (current month) and BETWEEN 1st day of month to Last Day for MTD value for previous months as filtered

YTD

Hours Served YTD = Sum of Sessions' Duration

Conditions:

  1. Appointment Status are ‘Report Approved’ and ‘Report Submitted’

  2. Appointments Deleted = 0

  3. Appointment Date is BETWEEN '1st day of Year' to Current date for YTD value (current month), and BETWEEN 1st day of month to Last Day for YTD value for previous months as filtered

Number of Students:

MTD

MTD = Count of unique student IDs during MTD

Conditions:

  1. Appointment Status are ‘Report Approved’ and ‘Report Submitted’

  2. Appointments Deleted = 0

  3. Appointment Date is BETWEEN '1st day of month' to current date for MTD (current month), and BETWEEN 1st day of month to Last Day for MTD for previous months


YTD

YTD = Count of unique student IDs during YTD

Conditions:

  1. Appointment Status are ‘Report Approved’ and ‘Report Submitted’

  2. Appointments Deleted = 0

  3. Appointment Date is BETWEEN '1st day of year' to Current date for YTD value (current month), and BETWEEN '1st day of month' to Last Day for YTD value for previous months.

Revenue:

MTD

Revenue = Sum of Transaction Values

Conditions:

  1. Transactions that are NOT Adjustments

  2. Payment Date is BETWEEN '1st day of month' to Current date for MTD value (current month), and BETWEEN 1st day of month to Last Day for MTD value for previous months

YTD

Revenue = Sum of Transaction Values

Conditions:

  1. Transactions that are NOT Adjustments

  2. Payment Date is BETWEEN '1st day of year' to Current date for YTD value (current month), and BETWEEN '1st day of month' to Last Day for YTD value for previous months

Sales:

MTD

Sales = Sum of Enrollment Total Values - Tax/GST/VAT (tax value not included)

Conditions:

  1. Enrollment Status = 'completed' OR 'closed’ OR 'active' OR 'cancel' OR 'on_hold'

  2. Enrollment Type = 'new' OR 'renewal'

  3. Date Created is BETWEEN '1st day of month' to Current date for MTD value (current month), and BETWEEN 1st day of month to Last Day for MTD value for previous months

YTD

Sales = Sum of Enrollment Total Values - Tax/GST/VAT (tax value not included

Conditions:

  1. Enrollment Status = 'completed' OR 'closed’ OR 'active' OR 'cancel' OR 'on_hold'
